Exhibitor Registration Form
The 52st Annual Meeting of the North American Benthological Society (www.benthos.org) will take place June 6 - 10, 2004 on the campus of the University of British Columbus (www.ubc.ca), Vancouver, British Columbia, Canada. NABS is an international organization of environmental scientists interested in various scientific endeavors including; environmental impact assessments, aquatic ecology, fisheries biology, primary productivity, nutrient dynamics, invertebrate life histories and taxonomy. NABS's membership is approaching 1700, with this years 52st meeting expecting to attract nearly 1000 scientists. NABS members derive largely from North America however, nearly 20% of our membership is comprised of individuals from around the globe, with representation from over 40 countries. The membership also crosses many employment sectors: 30% academia, 12% students, 11% state & provincial, 8% consulting, 7% federal and 2% private industry. With our membership diversity, exhibiting at this meeting will provide a wide base of exposure to your company
The Conference will be held on the University of British Columbia campus. We will use different buildings for various events. The concurrent sessions will all be held at the Woodward Instructional Resources Centre. The centre contains a state-of-the art theatre for large gatherings and large session rooms located conveniently near each other. The entire facility is accessible to disabled persons. The exhibitors' area along with the NABS business lunch, mixers, poster sessions, silent auction will be located in the Student Activities Centre

Rates:
Exhibitors have the option of reserving a 10' x 10' single table space or a double 10' X 20' two table space in the exhibition area. An optional third table (additional charge required) can be placed in the double 10' X 20' space. Each space includes one 7' table (two or three 7' tables for the double space) two chairs, an electrical outlet, one identification sign, back and side drapes and one complementary banquet ticket. In addition the exhibitors (company) name and a 20 word slogan or description of product or services will be included in the NABS Bulletin Program Issue (to be included in Program Issue registration and full payment must be received by January 20, 2004). Note all prices quoted in Canadian currency.

The Exhibit area hours will be as follows:
June 6: 1:00 am to 5:00 p.m. (set up in the morning)
June 7-9: 8:00 am to 5:00 p.m. (take down the 8:00 am to 12:00 p.m. June 10)
Our 2004 exhibitor rates have been held at 2003 levels because of the more than a one venue is utilized for the meeting.

Additional exhibitor options:
We have added several additional options for our 52nd meeting this year. These are options your company may want to consider in addition to exhibitor tables or as an alternative if you cannot join our meeting personally.
Social event sponsorship?$500/event
· an event sponsorship banner indicating sponsor name, telephone number and website address will be prominently displayed during the event. The event sponsor will receive a complimentary registration and be introduced at the NABS business luncheon.
Handout Table?..$100/handout
· This is an option for exhibitors who cannot personally attend the meeting but would like some exposure to our membership. An unattended table will be available within the exhibitor space to place this material. The shipment of material to the meeting is the responsibility of the exhibitor, however the material left after the meeting will not be shipped back (material will be appropriately recycled) .
Individual book?..donation to student auction
· As at past meetings, individual books or items can be displayed free of charge on the student auction table if the book is donated to the NABS silent auction.l For this option please contact our student auction coordinators directly: Paula Furey (pcfurey@uvic.ca) or Lisa Shama (lisa.shama@eawag.ch).
Payments and Registration:
Please complete the attached Exhibitor Registration Form by January 20, 2004, with the amount of payment indicated. Please make checks payable to NABS 2004. Exhibit registration forms can be completed and exhibitor registration payments in full can be received until May 31, 2004 however after January 20, 2004 the company name and 20 word logon will not be included in NABS Bulletin Program Issue.
Exhibitor Space Allocation:
NABS 2004 reserves the right to allocate exhibit space. Space in the Student Activities Centre will be allocated on a first-come first-serve basis. Every attempt will be made to assign space according to exhibitor's preference.
Security:
With the exception of the handout and book display tables each exhibiting firm is responsible for its equipment or materials and must have someone attending the booth during all hours the exhibit area is open to the public each day. Exhibit areas in the Student Activities Centre are not public space, and will not be open to the public after exhibit hours. Exhibitors should provide for their own public liability insurance to protect against claims arising from operation of the booth. All responsibility for damage to the exhibits areas resulting from an Exhibitors actions or negligence shall be assumed by the Exhibitor. NABS 2004, employees thereof, or their representatives, will not be responsible for the safety of the exhibits against theft, damage by fire, accident or other causes.
Cancellation of Booth Space:
No refunds will be made once the exhibit space has been assigned and payment has been received unless the exhibit space can be reassigned. If reassigned, a service charge of 25% of the total booth fee will be levied on cancellations made more than 60 days prior to the opening of the meeting. For cancellations made less than 60 days prior to the opening of the meeting, the Exhibitor will be obliged to pay 50% of the total booth cost.
Exhibitor conduct:
Display materials must be contained within the confines of the Exhibitor's particular booth. Display materials must not be placed in any manner, which will interfere with the operation of adjacent booths.
Exhibitors shall not mar or deface the exhibit area in any manner and shall not paste, tape, nail, or by other means attach materials to columns, walls, floors or any other parts of the building.
All decorative exhibit materials must conform to local fire regulations and electrical codes.
Shipping instructions:
Materials can be shipped during May 2004 to: Dr. John S. Richardson, Dept. of Forest Sciences, 3041-2424 Main Mall, University of British Columbia, Vancouvar, BC Canada, V6t 1Z4. All materials received prior to June 5, 2004 will be stored and delivered to the Student Activities Centre on June 6, 2004; the first setup day for exhibitors.
